Steps for program amendments

Steps

Applicable to all program changes not involving a change in either a) program title, or b) program duration.

Program amendments which are considered major are those which involve a significant shift in demand or resources and or a new mode of study and/or shift in geographical location require a Program Proposal (Strategic and Business Case) to be approved by VCE in addition to the steps outlined below.

Step 1

The program development team prepares:

  • The Higher Education Draft Program Details Form (program structure)
  • The HE Course Form (for any new or amended courses)

Step 2

Send the Higher Education Draft Program Details Form and the HE Course Form to ARG (Course and Program Administration)

  • ARG (Course and Program Administration) will create/amend any new or amended courses and upload the amended program structure into PeopleSoft
  • ARG (Course and Program Administration) will advise the program development team the structure has been amended
  • Program development team will create a ‘New Draft’ and ‘Refresh’ the Program Guide within the system

Step 3

The program development team prepares:

  • The Rationale for the Program Amendment
  • The Course Guides Part A: Course Overview (for any new or amended courses
  • The Draft Program Guide in the Program Guide System

The Program Guide is written for students and provides information about the program structure, capabilities that they will develop, rationale for these, and how they will evidence their achievement and the educational pathways including programs from which students may enter and to which students may progress

Step 4

The Program Guide and Course Guides Part A: Course Overview are submitted to the Academic Development Committee and College Board for approval by the dates prescribed by the Academic Registrar. College endorses the Program Guide in the Program Guide System.

Step 5

ARG (Course and Program Administration) then approves and publishes the Program Guide within the Program Guide System. The published program guide will then be visible on the web page at Handbook (program guides).

Step 6

Course Guide Part B: Course Details are updated according to the university calendar
